This Privacy Policy explains how Probix Intelligence (“Probix”, “we”, “us”) collects, uses, and protects information when you use our service. We act as a service provider (processor) to the businesses that use Probix, handling their customers’ information on their behalf.
1. Information we collect
- Account information: your name, business name, email, phone number, and business details you provide during onboarding.
- Call and message data: recordings, transcripts, and summaries of calls handled on your behalf, and the content of text messages sent or received through the service.
- Your customers’ contact details: names, phone numbers, service addresses, and appointment information that we process so we can book and follow up on jobs for you.
- Payment information: handled by our payment processor (Paddle); we do not store full card details.
- Usage data: basic logs and analytics used to operate and improve the service.
2. How we use information
- To answer calls, book appointments, send confirmations and reminders, follow up on quotes and invoices, and request reviews on your behalf.
- To provide, maintain, secure, and improve the service.
- To communicate with you about your account, billing, and support.
- To comply with legal obligations.
3. Service providers we use
We share information only with trusted providers that help us deliver the service, under agreements that require them to protect it. These include providers for telephony and messaging, speech-to-text and text-to-speech processing, calendar and scheduling, database hosting, email delivery, and payment processing. We do not sell your information.
4. Call recording and consent
The service may record and transcribe calls. As the business using Probix, you are responsible for providing any notice and obtaining any consent required by law in your customers’ jurisdictions before recording or contacting them.
5. Data retention
We retain information for as long as your account is active or as needed to provide the service, then delete or anonymize it within a reasonable period, unless a longer period is required by law. You may request deletion of your data as described below.
6. Security
We use reasonable technical and organizational measures to protect information, including access controls and encryption in transit. No method of transmission or storage is completely secure, but we work to protect your data and respond promptly to any issues.
7. Your rights
Depending on your location, you may have the right to access, correct, export, or delete your personal information, or to object to certain processing. To exercise these rights, email founder@probixai.com and we will respond within a reasonable time.
8. Cookies
Our website uses essential cookies to keep you logged in and to operate the service. We do not use them to sell your information.
9. Children
The service is intended for businesses and is not directed to children under 16. We do not knowingly collect personal information from children.
